For those interested in publishing scientific works, textbooks, scripts, and other materials, we encourage you to familiarize yourselves with the publishing procedure applicable at the University in Siedlce Publishing House. All legal documents regulating the rules of publishing books at the Publishing House are available on our website in the Legal Acts tab. There you will find:

3. What the process looks like when you wish to publish a book outside the UwS Publishing House.
In maintaining the reputation of the University in Siedlce and its academic community, we uphold scientific integrity – we respond to and report any cases of publishing misconduct.
1. What publication paths do we offer?
We offer two paths depending on the planned place of publication:
- For authors interested in publishing a book within our Scientific Publishing House. The procedure is explained in the section Publishing with UwS Scientific Publishing House.
- For University in Siedlce employees interested in publishing a book with an external publisher. The stages of this process are explained in Publishing outside UwS.
2. Publishing with UwS Scientific Publishing House
What conditions must be met to begin work on a publication?
If:
the publication receives a positive review,
financial resources for its publication are secured,
complete documentation regarding the publication has been submitted,
The Publishing House may then proceed with the production process.
We apply specific editorial standards; therefore, at the preliminary stage of preparation, we recommend reviewing our Editorial Requirements. We particularly request that all graphic elements and charts are of high quality, and that citations and bibliography meet our established standards. Ensuring this is the responsibility of the editor/author.
To ensure efficient processing, please provide complete materials and full documentation – any deficiencies will halt the process until they are resolved.
What deadlines apply to authors/editors?
- Submissions are accepted for the next stages of the publishing process throughout the year.
- Publication within a given calendar year is guaranteed if complete materials (including reviews and documentation) are submitted by the deadline of September 30th of that year.
- This timeframe may change only for special editions or, in exceptional cases, titles whose production was delayed for various reasons.
- Habilitation theses and works related to professional advancement are treated as a priority.
How to submit a publishing application?
- The author/editor submits a publishing application for approval to the Discipline Council. If the publication concerns a discipline not represented by a council, the application is submitted to the Publishing Committee. The application form can be downloaded from our website.
- Based on the application data, the Publishing House estimates the costs of the planned publication.
How are publication costs calculated and who bears them?
- The unit financing the publication bears the costs of reviews, printing, and additional external services (translations, external editing, indexing, etc.). However, it does not bear the costs of internal work (linguistic editing, proofreading, typesetting) performed by UwS Publishing House staff.
- All incurred costs are taken into account when pricing the publication for sale.
- At the initial stage, an estimated budget is prepared; the final cost is calculated after the book production is completed.
- Review costs and other fees are regulated by the Rector's Ordinance regarding remuneration rates.
- Printing and binding costs depend on: page count (including color pages), print run, format, paper type, and binding type (hardcover/softcover, sewn/glued).
How does the peer review process work?
- Every scientific or educational publication undergoes a peer review, which is the basis for substantive evaluation. It is conducted by at least one external reviewer – a specialist in the given discipline with a professor's title or habilitation degree.
- The author/editor submits a request for a reviewer to the thematic editor of the given discipline. The Reviewer Request Form is available on our site.
- The reviewer must submit a Conflict of Interest Declaration.
- The Publishing House sends the material to the reviewer and subsequently provides the author/editor with the received review(s).
- If the review is positive, the author reviews the comments and implements the indicated changes (or justifies their omission).
- The revised text is resubmitted to the Publishing House along with signed documents. From this point, the text is treated as the final version.
What to do in case of a negative review?
- If a review is negative, it is sent to the author and the thematic editor. The author is obliged to provide a written response.
- The thematic editor analyzes the response and may agree to appoint another reviewer. If the second review is also negative, the Publishing House may refuse publication.
What documents are required and where can they be found?
- The author/editor must provide the following signed documents:
- Publishing application,
- Author/Editor declaration,
- Reviewer request form,
- Information on the funding source for printing and reviews,
- Reviewer's conflict of interest declaration (for authored books).

- Upon receiving a positive review and complete documentation, we enter into a contract with the author. The contract defines the rules for transferring economic copyrights to the University.
How does the editorial stage work?
During this stage, technical and linguistic editors work on your book. At this point, it is no longer possible to add new texts, articles, or replace chapters. Any significant interference slows down and may jeopardize the editors' work.
- We provide full typesetting and proofreading; however, in case of necessary extensive revisions, we reserve the right to return the work to the author for correction.
- Authors wishing to perform their own typesetting should contact us to determine technical parameters and cover requirements.
- After editing, we send a PDF file to the author for final approval (author's proof).
- Final approval by the author closes the editorial phase and begins the printing phase.
How does the printing and production stage work?
- The publication is sent to the printer. Cover designs are prepared by a graphic designer; the author/editor approves the selection. Please do not design covers independently.
- A "proof copy" is produced to eliminate errors. It is technically evaluated and then passed to the author. Minor corrections can still be made at this point.
- The final version is then sent for full print run production.
Distribution and reprints
- We handle distribution to libraries, our online store, and on-site sales. Authors receive author copies as regulated by the Rector's Ordinance on distribution rules.
- The Publishing House has the right to reprint the publication without the author's consent for five years. We will consult with the author regarding the content's current relevance before reprinting.
3. Publishing outside UwS
For publications realized through external publishers, we do not participate in contracts, administration, editing, or distribution. However, we request that copies of all documents regarding the process be submitted to our office. Rules for this path are governed by the Rector's Ordinance regarding publications bypassing the UwS Publishing House.
What is the process for external publication?
- The author submits a request for consent to publish externally to the Vice-Rector for Science, indicating the publisher, funding source, and a cost calculation.
- The UwS Organizational and Legal Department is responsible for contracts between the University and the external publisher.
- It is possible to use a UwS ISBN; in such cases, a copy of the contract and the review must be presented to the Publishing House Director for evaluation before printing.
